If you’ve been in the healthcare industry long enough, you understand how important it is to meet Electronic Visit Verification (EVV) requirements. Without the proper documented visits, claims get denied. And when that happens, you don’t get paid.

Some healthcare providers believe that ADP® is a comprehensive documentation solution. But that is far from the truth. ADP® is good for what it does as a payroll software, but it lacks the capabilities to track the required patient data needed for EVV.

In this article, we’ll break down why ADP® alone doesn’t meet EVV requirements and how healthcare agencies are using Timeero for accurate and detailed Medicaid visit tracking.

What is Electronic Visit Verification (EVV)?

Electronic Visit Verification (EVV), is a digital system that healthcare providers use to confirm that a patient visit actually happened and happened the way it was supposed to.

Federally funded programs, such as Medicaid, will not reimburse healthcare providers for services rendered without proper EVV documentation.

Healthcare agencies that fail to remain EVV compliant may be subject to penalties and fines per federal and state laws.

What Medicaid actually requires for EVV

To receive Medicaid reimbursement, every patient visit must be documented with six specific data points:

  • Name of patient visited
  • Name of caregiver
  • Location of service
  • Date of service
  • Arrival and departure times at service location
  • Type of care rendered

Without the above information, Medicaid claims risk being rejected, and your healthcare agency can face hefty fines and penalties for failing to gather the necessary information for EVV.

Why ADP® isn’t meant for Electronic Visit Verification

ADP® is a popular payroll solution for businesses of all sizes.

Employers using ADP® can run payroll for teams, update timecards, and conduct other HR-related tasks.

But when it comes to EVV, ADP® is not meant to be used as an EVV system.

Why?

ADP® does not have the ability to capture the details you need to prove that patient visits have been completed. ADP® does not use GPS technology to record patient addresses or record timestamps that document when care was rendered. ADP® also does not allow caregivers to input details such as what services were performed during visits or which patient was visited.

Because ADP® lacks the functionality to record these important details, it is not considered an acceptable mobile EVV system for caregivers.

How Timeero closes the EVV compliance gap

Just because ADP® doesn’t record the details you need for EVV compliance doesn’t mean you need to change your payroll software – you have options.

Timeero is a comprehensive workforce management app that records the details you need for EVV compliance and seamlessly integrates this data with Sandata for reporting.

Case Study: Adopting Timeero for EVV

Sarah, a caregiver in Tennessee, has provided in-home care services to Mr. Parker for over a year. Her agency has been using ADP® for payroll processing and employee onboarding for the last 5 years with no issues.

But when Tennessee implemented strict Electronic Visit Verification (EVV) requirements for Medicaid-funded home care services, Sarah’s company received a compliance warning during an audit.

Sarah believed that the ADP® payroll system used by her agency would automatically capture all necessary EVV data, including clock-in/out times, GPS-based location tracking, and visit verification. But she soon learned that while ADP® did accurately process paychecks, it did not collect the EVV-specific data required by Tennessee Medicaid.

To remain compliant and avoid EVV penalties, Sarah’s agency adopted Timeero, a mobile EVV system tailored for home healthcare providers.

Add patient information in Timeero, exactly as found in Sandata for EVV compliance.

Now Sarah clocks in as soon as she arrives at Mr. Parker’s home and Timeero records GPS-stamped clock-ins/outs confirming she’s on-site. The app also handles recording the additional data points Sandata needs to verify patient care visits.
