If you manage EVV compliance, scheduling, or operations for a behavioral health agency, you already know the day-to-day challenges. Your team is often spread across locations, some in the field, some remote, and some rotating through clinics.

And while you’re trying to deliver great care, you’re also trying to stay ahead of Medicaid requirements, accurately track visits, and handle payroll without a dozen systems getting in the way.

EVV compliance adoption is no longer optional. It’s a reality agencies are working hard to meet, often with limited time and resources.

The Timeero and PIMSY integration gives you one connected solution to simplify Electronic Visit Verification, reduce manual admin work, and improve data accuracy across the board.

5 Common pain points in behavioral health operations

If your team handles visit documentation manually, or if you’re using disconnected platforms for scheduling, tracking, and payroll, these challenges may sound familiar:

1. EVV compliance gaps

Medicaid requires you to document the who, what, when, where, and how of every qualifying service.

Missing even one of those details can lead to denied reimbursements or, worse, failed audits.

2. Manual, repetitive data entry

Many behavioral health organizations use multiple platforms to manage schedules, timesheets, and payroll.

If you're entering the same visit information into multiple systems, you're essentially doubling or tripling your work.

3. Constant schedule adjustments

In everyday practice, emergencies pop up. Clients cancel their appointments, and staff availability changes.

Without real-time updates and cross-platform synchronization, schedules quickly lose their validity, miscommunications spread, and before you know it caregivers are missing appointments.

4. Stressful audit preparation

When you're being audited, you need access to complete visit records.

If your data lives in different places, or if staff forget to clock in/out, it’s hard to present clean records when auditors come calling.

Not to mention, it's super stressful to be left piecing together visit logs, hours, and documentation after the fact.

5. Inaccurate time and mileage logs

When visiting clients, mileage and work hours must be tracked accurately.

But if you’re using pen and paper or spreadsheets, it's not uncommon for key details to be missing or incorrect, causing payroll issues and lost reimbursements.

A smarter approach: How Timeero + PIMSY works

These issues don’t just cause your admin headaches, they slow down your operations and stretch your team thin.

And the more your organization grows, the harder it gets to keep everything aligned without the right tools.

With Timeero and PIMSY, you can connect your daily tasks with backend systems to make your workflow run smoothly.

What this looks like in practice

Imagine you manage a behavioral health agency offering outpatient therapy, in-home care, and telehealth services. Your team operates across several counties, and your admin staff is encountering the following situations daily:

  • Changing provider schedules
  • Manually logged visit times
  • EVV requirements that vary by state
  • Payroll submissions with inconsistent mileage data

Once Timeero’s EVV system and PIMSY are integrated, the process look completely difference:

✅ Schedules are created once in PIMSY and automatically sync to Timeero.

✅ Providers clock in and out using the Timeero mobile app, with GPS location and time captured in real time.

✅ EVV-required data points are logged automatically, including who provided care, when, where, and what service was delivered.

✅ Time and mileage data are ready for payroll, eliminating spreadsheets and last-minute reconciliation.

With everything synced and verified in one place, your admin team spends less time chasing down data and more time supporting patient care.

What you get with the integration

Accurate, GPS-based EVV tracking

When your team clocks in and out using the Timeero mobile app, we automatically capture all six data points required for Electronic Visit Verification. Every visit is GPS-verified and time-stamped, creating complete, secure, HIPAA-compliant, and audit-ready records without any extra work on your end.

For agencies working with Sandata (a data aggregator in more than 20 states), you get seamless integration from end to end: PIMSY manages your operations, Timeero tracks your visits, and everything flows directly to Sandata for state reporting.

Even if your state EVV requirements differ, our team can help you explore integration options.

Automated schedule sync

Schedules created in PIMSY automatically appear in Timeero every two hours. This eliminates manual re-entry and keeps your visit data consistent.

Unified staff & client data

Employees and clients are imported from PIMSY into Timeero with built-in data checks to prevent sync errors. This supports cleaner records and smoother operations.

Time and mileage capture for payroll

Timeero tracks hours worked and mileage driven, making it easier to run payroll, especially for organizations with traveling staff or contracted providers.

Supports real-world workflows

Whether you're managing large teams across states or running lean operations, this integration scales to support a variety of behavioral health models. Best of all, it doesn’t add complexity or overload your team.

Step-by-step: How the integration works

1. Enable the integration

  • In Timeero, go to Integrations → PIMSY → Enable
  • Enter your PIMSY credentials

2. Map employees and clients

  • Use the Configuration section in Timeero to match or import records from PIMSY.
  • Required info, such as name, address, SSN, or Medicaid ID, must be completed in PIMSY for sync to work.

3. Sync schedules

  • Click “Sync Schedules” in Timeero
  • Schedules created in PIMSY are synced (read-only in Timeero) every 2 hours.

4. Track visits

  • Field staff clock in/out using the Timeero mobile app
  • GPS and time data are recorded for every visit, supporting EVV compliance and time reporting

Experience pain-free EVV compliance

Behavioral health teams need tools that travel with them– across clinics, in the field, and remotely.

The Timeero + PIMSY EHR integration supports your operations and automates compliance tracking in a way that’s accurate and easy to manage.

It’s an ideal fit for:

  • Agencies delivering in-home or community-based care
  • Teams needing reliable EVV documentation without extra admin work
  • Operations looking to reduce payroll errors or mileage disputes
  • Organizations growing across locations or state lines
