If Zoho Expense’s mileage tracking feature does not meet your expectations - whether it inflates miles by logging short walks or misses segments altogether - you’re not alone.
Fortunately, there are mileage tracking apps that excel where Zoho Expense falls short.
In my tests, I noticed Zoho Expense sometimes recorded extra mileage, making reimbursements more expensive than they should be.
Below, I’ll share six of the best Zoho Expense alternatives for 2025. I was able to test most of these apps firsthand (except for the Motus) to ensure each app was easy to use and delivered accurate results.
Ready to try an app that nails mileage accuracy from day one?
Keeping mileage logs might seem simple in theory, but it can become a major pain point for businesses and freelancers. Recordkeeping mistakes – no matter how small they are, can impact your bottom line significantly.
Drivers that submit exaggerated mileage reimbursement claims may one day find themselves in trouble with tax authorities, especially when reimbursement figures do not match driving totals. That’s why accurate mileage tracking software is essential.
How I chose these Zoho Expense alternatives
Before we get into the details, I’ll share with you what my testing process looked like.
Although I already had previous experience testing these apps, I began by reading recent, first‑hand customer reviews. Their feedback highlighted the key pain points and must‑have features, so I included a mix of positive and negative G2 quotes in the review as examples.
I tested each app, looking at the following criteria:
Accuracy Does the app reliably detect driving speed vs. walking or idle time? In my tests, I took both short commutes and longer drives to see if mileage was under- or over-recorded.
User-friendliness Is the interface intuitive enough for first-time users? I used each mobile app for a while to gauge the overall experience.
Offline functionality Can the app keep tracking without a stable internet connection? I tested each app in low-signal areas to see if mileage logs stayed accurate.
Drive classification Does the app automatically separate business from personal trips? If the process is done manually, is it fast and accurate?
Reporting & integrations. How easy is it to generate IRS-compliant mileage reports? Does the app integrate smoothly with popular accounting or payroll solutions?
For this article, I tested the following apps:
Timeero - Real-time mileage tracker with multi-stop tracking
MileIQ - Automatic trip classification with swipe-to-classify feature
TripLog - Multiple tracking modes and advanced route planning
Everlance - All-in-one mileage and expense tracking
Motus - Location-based reimbursements for enterprises
Driversnote - iBeacon hardware option for improved auto-logging
While testing the apps, I noticed many challenges: phantom miles logged while slowly walking, missed logs during short trips, and tricky user interfaces that slowed down my user-experience.
With the right Zoho Expense alternative, you can solve these issues, improving both compliance and cost control.
So, without further ado, let’s get to the results.
Top Zoho Expense alternatives
1. Timeero — Real-time mileage tracker with multi-stop tracking
Segmented Trackingcaptures points along multi-stop routes without repeated clock-outs
Offline mode buffers data in low-signal areas
Commuter mileage exclusion automates compliance by removing home-to-work miles
Real-time GPS Tracking offers managers visibility into active routes
Basic expense fields store extra data alongside trip logs
Cons
Advanced tools are available as paid add-ons
I found Timeero to be an exceptionally accurate Zoho Expense alternative. In my tests, once I exceeded the predetermined speed threshold, Timeero’s automatic drive detection system kicked in and prevented logging foot traffic.
Unlike Zoho Expense, which occasionally counts slow walking as “driving,” Timeero spared me the hassle of phantom miles.
Timeero’s Segmented Tracking was a standout! Each stop I made once I clocked in was registered as a separate trip segment. This eliminates the need for multiple clock-ins/outs and keeps daily mileage logs crystal clear.
The app’s setup was refreshingly simple, and thanks to Timeero’s offline capabilities, my tracking data was continuously recorded in low-signal regions.
Key Features
Segmented Tracking technology
Perfect for field reps, delivery drivers, property managers, or professions that make multiple stops each day, Segmented Tracking eliminates the hassle of needing to clock in/out each time you make a stop. With Segmented Tracking, Timeero divides your trip into individual segments based on the individual stops you make.
Offline mode In weak coverage areas, Timeero stores mileage data locally and syncs once you reconnect, ensuring no miles slip through the cracks.
Route replay & breadcrumb technology
Timeero’s dashboard displays clickable points on your route known as breadcrumbs. Each breadcrumb provides driving details such as mileage and driving speed. You can even compare actual routes with the app’s suggested paths to reduce travel time.
Real-time GPS tracking With real-time GPS tracking managers can view an employee’s location at any point in time. With these insights you can improve dispatch time and increase project completion rates.
Commuter mileage exclusion To stay IRS-compliant, Timeero automatically omits commute miles from daily business mileage. This removes the headache of manual edits later on.
Reduce drive time with suggested routes If you visit one location frequently, Timeero can compare the actual path you took against a recommended shortcut, to potentially reduce mileage and fuel costs over time.
Electronic signatures and supporting documents Timeero isn’t an expense management software, but it does allow you to add photos or supporting documents (e.g., client info, receipts) to timesheets for each trip. With electronic signatures, employees can sign and verify timesheets, clients can sign off on work performed, and healthcare workers can verify patient care was rendered.
Workforce management features
Besides mileage tracking, Timeero has many features that help you manage your workforce more effectively.
“Timeero is easy to use, has great customer support and is relatively easy to integrate … I’d recommend Timeero to other business partners.” Jonathan V., Technical Specialist, May 3, 2024.
“The price compared to other options was a little more expensive … but no other product did exactly what I wanted.” Verified user, Logistics & Supply Chain, Nov 16, 2023.
Our Say
If you need pinpoint accuracy from the very first mile, especially for multi-stop routes, Timeero stands out as a top-tier Zoho Expense alternative. With IRS-compliant reporting, its ability to integrate with popular accounting software, and great customer support, Timeero hits the sweet spot between ease of use and powerful mileage management.
2. MileIQ — Automatic trip classification with swipe-to-classify feature
Pros
Runs in the background using WiFi, cellular data, and GPS, with no manual toggling
Quickly marks trips as personal or business, preventing mix-ups
Helps you run IRS-compliant reports and maximize the 70 cents/mile deduction
Ideal for solo pros who don’t need multi-stop tracking
Cons
May fail to log offline trips under certain conditions
Travel less than 1 mile is often auto-logged as “paused” or isn’t recorded
Ends a trip if you stay idle too long, risking inaccurate splits
MileIQ caught my eye for its streamlined approach to mileage tracking. Once installed on my phone, the app automatically started logging trips in the background - no “start” or “stop” button necessary.
The best part? I just swiped left for personal or right for business when reviewing drives. Almost effortless.
But my tests yielded mixed results. While MileIQ occasionally matched other trackers mile-for-mile, it flopped on trips that started without internet connection, and failed to recover missed segments even after internet connection was restored.
Short errands, like a brief coffee run, sometimes went unrecorded or were split into multiple overestimated drives. You might run into frequent glitches if your day includes travel in areas without internet connection or you make several stops in quick succession.
Key Features
Hands-off tracking Beyond installing the app, MileIQ rarely required me to do anything as far as enabling features go. The app quietly recorded each drive in the background, as long as an internet connection was established at the beginning of the trip.
One-swipe trip classification After I completed a trip, I received a push notification prompting me to classify the trip with a single swipe. This system is near-foolproof for single-route trips, but unfortunately you can’t split a route into multiple stops.
Frequent Drives suggestion
If you repeatedly classify the same route, MileIQ will eventually suggest labeling the route as a “Frequent Drive.” After classifying the route three times, MileIQ can auto-classify future trips along that path, reducing manual effort.
Work hours and work shifts Defining your regular business hours allows MileIQ to automatically label trips in that window as “business,” which means drives outside of those hours are classified as “personal.” If your schedule is more irregular, you can create multiple Work Shifts. MileIQ will treat any drives within those intervals as business-related, freeing you from frequent, repetitive classifications.
Offline tracking MileIQ’s offline tracking is somewhat unreliable. In one test, it logged a lengthy trip accurately. In another, it missed an entire 209.5-mile drive that started without a stable internet connection. For more details about the testing, read our MileIQ review.
“MileIQ makes it easy to keep track of your drives … Setup is simple and the dashboard is clean.” Ken K., Mid‑Market Systems Analyst, May 21,2024.
“They are no longer included in my Office 365 subscription. Also, the app has some issues with distinguishing places if they are close to each other. Sometimes I will have to go in and correct the location.” Terry R., Small‑Business President, Sep 5, 2023.
Our Say
If you’re a freelancer or manage a small business with access to the internet, MileIQ is an ultra-simple mileage tracking solution. But you may outgrow its limitations if you drive multi-stop routes or do a lot of remote driving. While MileIQ may record single-route trips with ease, the app failed to track several short trips and even an entire journey when I started the trip without a stable internet connection.
3. TripLog — Multiple tracking modes and advanced route planning
Pros
TripLog tracks mileage automatically when you reach a predefined speed threshold
Multiple tracking modes: manual, MagicTrip, Plug-N-Go, Car Bluetooth, or Gig App driver mode
Scan fuel receipts, link bank accounts, and generate invoices for IRS-compliant reports
Plan multi-stop journeys to reduce fuel and transportation costs
Cons
The interface can feel cluttered, leading to a steeper learning curve
Mileage may be tracked outside of work hours if MagicTrip is left activated
TripLog stands out for its variety of tracking methods: whether you want fully automatic tracking, manual logging, or hardware-based triggers, it’s got you covered.
I tested the MagicTrip feature by setting a minimum speed threshold. Once my car surpassed that speed, TripLog automatically began tracking my mileage. However, the app’s interface has many settings, so the learning curve is a bit higher than with simpler apps like MileIQ.
Key Features
Multiple mileage tracking modes TripLog spoils you for choice: manual, MagicTrip (auto-detection above ~5 mph), Plug-N-Go, Car Bluetooth, or Gig App mode. If you prefer hardware, TripLog Beacon or TripLog Drive ensure you cover every mile, though both require extra purchases.
Convenient expense management Fuel receipts, tolls, and additional business related purchases can be scanned and categorized within the app. TripLog then produces IRS-compliant reports for reimbursements. To streamline trip classification, you can also set frequent trip rules, similar to MileIQ’s “Frequent Drive” feature.
Route planning & optimization
Perfect for businesses with multiple stops each day, TripLog’s route planner can help minimize travel time and fuel consumption. You can also hover over “breadcrumbs” on a map to see driving speeds and confirm route accuracy.
Commuter mileage & work schedules Choose to remove the first or last trip of the day from business logs so you don’t over-claim personal commutes. For classification purposes, any drives taken during work hours are automatically classified as business mileage.
Privacy controls Manual mode puts employees fully in charge, while MagicTrip demands a clear policy so personal miles aren’t logged unintentionally. An option for “B” (business) or “P” (personal) icons also exists if you prefer direct classification.
“TripLogs automated mileage tracking and receipt capturing have significantly increased the efficiency of our staff. I am happy with its useful features, we no longer waste time manually recording mileage and expenses. We also appreciate the platforms flexibility, which lets us tailor it to meet our particular needs.” Michael H., Small‑Business Owner, Jul 17, 2023.
“There magic trip constantly is failing for my employees, and they lose mileage reimbursment that way. TRIP LOG'S system deleted miles without ever being asked to do so, causing my techs to lose pay. The app crashed on my employees. Signing up takes a tag team of people. There customer support is awful, they never get back to you on things your put tickets in for, even when they day they will. They dont solve them that fast either. STAY AWAY.” Tyler D., Mid‑Market Director of Implementation., Jul 23, 2024.
Our say
TripLog is a great Zoho Expense mileage tracker alternative, particularly for those wanting automatic mileage tracking, expense management features, and route optimization in a single app. The interface can feel busy for new users, and you’ll also need to create a solid privacy policy if you choose to use MagicTrip.
4. Everlance - All-in-one mileage and expense tracking
Heads Up: Motus Acquired Everlance
In February 2025, Everlance joined forces with Motus, a leader in vehicle reimbursement. Everlance still operates as its own solution, but this partnership could spark new features and integrations down the road—something to watch if you’re looking for even more mileage and expense options.
Pros
Automatic drive detection kicks in at around 5 mph – there is no need to remember to tap “start.”
One-swipe classification for quick personal vs. business labeling
Expense tracking & deductions finder – attach receipts, manage fuel costs, and simplify invoicing
Supports FAVR & CPM reimbursement programs for more complex mileage setups
You can only view start/end points, no turn-by-turn route details
The home screen can feel cluttered for first-time users
Sub-mile errands sometimes fail to register
Everlance stands out for its all-in-one approach, combining a reliable mileage tracker and expense management platform in one place. Snapping photos of receipts and automatically linking them to drives felt seamless during my tests. I appreciated Everlance’s “Favorite Trips” feature, which recognized frequently traveled routes and prompted me to auto-classify them after a few repetitions.
However, no breadcrumbs or route maps exist, meaning you can’t see exactly how employees drive, only their start and end points.
Another drawback is the UI. While having mileage charts and expense summaries upfront is helpful, the interface can seem a bit cluttered if you are new to a comprehensive tracking system.
Key features
Automatic mileage tracking Everlance started tracking mileage as soon as my driving speed reached above 5 mph. Tracking was spot on for longer journeys, though quick errands sometimes fell through the cracks.
Trip classification
Everlance makes it simple to label each drive. A quick swipe left/right marks trips as personal or business, while Work Hours ensures anything logged in a set timeframe is automatically labeled “business.” Plus, “Favorite Trips” cuts down on repeated labeling for routes you take often.
Commute disallowance Everlance automatically subtracts commuting miles if the feature is enabled, which is helpful for tax compliance if your commute is not reimbursable.
Mileage expense reports & approvals
Everlance centralizes all mileage details—route start/end points, total mileage, and attached expenses—into a clear report. When employees submit a report, you can view each trip’s specifics and any accompanying notes before choosing to approve or reject. If you deny a claim, you’re prompted to include a rationale, ensuring transparent communication.
Expense integration Adding notes or photos to each trip was straightforward, and I was able to create a combined mileage and expense report at month’s end. The app’s Dedications Finder helps ensure you don’t miss possible write-offs, and you can track FAVR or CPM reimbursements.
“I love that you can set times for everlance to track your trips. Outside of the set times it doesn't track. You can also classify your trips as personal or work in just a swipe, I love that! It's very easy to delete or add trips to your reports.” Jessica J., Traveling Merchandiser, Jul 29, 2024.
“It drains the battery on my phone faster than I'd like..” Ashley R., Small‑Business user, Feb 11, 2025.
Our Say
If you’re self-employed or a small business owner and you need a simplified mileage and expense management solution, Everlance can be a great choice. Although breadcrumb technology is not included, and the interface might initially feel cluttered, Everlance checks the boxes for automated mileage detection, quick expense logging, and reimbursement options. Just be sure to turn off automatic tracking at clock to protect user privacy. For more information about the app, be sure to read our detailed Everlance review.
5. Motus — Location-based reimbursements for enterprises
Pros
Adjust mileage rates for employees’ locations, factoring in costs like fuel and insurance
A feature-rich dashboard monitors driving behavior, costs, and compliance
Supports diverse reimbursement programs, such as FAVR, Cents-Per-Mile (CPM), Car Allowance, Fleet Solutions, and more
Cons
Geared toward mid-size to large enterprises with big budgets
Complex setup that may feel excessive if you only want basic mileage logs
Motus is built for enterprise-level mileage reimbursement, combining location-based analytics with compliance tools that extend beyond mileage logs. The app evaluates driver safety, analyzes environmental impact, and verifies insurance status. But its advanced features can be an overkill if you're looking for an app to meet your basic tracking needs.
However, large distributed teams gain value by Motus’s ability to tailor reimbursements (FAVR, CPM, or Car Allowance) to specific regions and roles.
Key features
FAVR, CPM, and Car allowances Motus offers multiple ways to handle mileage reimbursements – from location-based FAVR to the simpler Cents-Per-Mile (CPM) model. With the ability to customize reimbursement methods for individual employees based on local fuel costs and driving habits, you can streamline your company’s mileage reimbursement process.
Smart vs. Auto tracking modes
Motus offers two ways to track mileage automatically.
Smart Track operates passively, focusing on battery savings by only detecting drives during set work hours.
Auto Track uses precise GPS to track employees that make frequent, short stops.
Both modes do need you to open the app occasionally to prevent unwanted sign-outs, but other than that, manual input is very minimal
Driver safety & MVR monitoring Beyond basic mileage tracking, Motus also helps reduce risk by checking Motor Vehicle Records (MVRs), flagging high-risk drivers, and offering safety training. This extra oversight can go a long way for large enterprises to promote safer driving habits and avoid liability issues.
Environmental impact solutions Motus can track vehicle-related carbon emissions, helping businesses identify ways to shrink their carbon footprint, whether it’s optimizing routes or encouraging eco-friendly incentives. This ties your mileage management to broader sustainability goals.
Full web portal access Everything is handled in one online hub, from mileage approvals to driver profiles and reimbursement settings. Admins can add or remove drivers, assign them to specific programs, and run in-depth reports for tax or auditing purposes without needing to use multiple platforms.
“The best thing about Motus Vehicle is it makes it EXTREMELY easy to integrate, use, and achieve accurate reimbursement for your business vehicle expenses. I use MOTUS almost daily and I have no complaints. It will track your mileage real time and for those who are like me and sometimes forget to start the tracker, you can enter manually.” Lauren P., Enterprise BD Manager, Apr 2 2025
“Feels like an app from 2010 — functional but poor UX … nonstop pop‑ups to share location and dated interface.” Andreas H., Product Support Engineer, Apr 2, 2025
Our Say
Motus is a hard-to-beat Zoho Expense alternative, particularly for enterprises that are managing extensive, regionally diverse fleets. Its FAVR programs, safety monitoring, and deep analytics are perfect for large teams on the road. But if you just want a more straightforward mileage-tracking solution, Motus can feel expensive and overly complex.
6. Driversnote — iBeacon hardware option for improved auto-logging
Pros
Automatic mileage tracking
One-tap labeling trips as personal or business, plus several auto-classification options
Improve accuracy with iBeacon
Cons
May log “phantom rides” or miss parts of real trips
Limited integration options
Driversnote is a user-friendly mileage tracker designed for straightforward use, particularly for self-employed individuals and small teams. It detects movement through GPS and accelerometer data, automatically logging miles whenever your phone senses motion.
The lack of a fixed speed threshold helps it capture most trips without additional toggles, but it can record phantom rides or omit miles if your phone doesn’t acquire a stable GPS signal quickly.
If you crave more reliable detection, Driversnote gives you the option to switch to manual tracking or adopt iBeacon. Check out the 2025 Driversnote review to learn more about the app.
Key Features
Auto-detection Driversnote begins tracking mileage as soon as your phone’s sensors detect movement. If you begin driving in a location with a low-connectivity zone, the app might miss recording the first leg of your journey, but it usually stabilizes once your connection is strong.
iBeacon for more control When you purchase the iBeacon hardware (included with some annual paid plans), mileage is only tracked when you’re actually in your car. This can improve both accuracy and privacy, especially if employees share vehicles or park them on company premises.
Trip classification options
Drivers can manually label trips as personal, business, or choose from four auto-classification methods:
Based on the previous trip
Always business
Always personal
Based on work hours
Though there’s no swipe-to-classify feature, only one quick tap is needed to confirm each drive.
Route & basic mapping Driversnote displays drivers’ routes on a map. Although no breadcrumbs or speed data is shown, there is enough information displayed to discourage scenic detours. From an admin perspective, you see the route, mileage, and any notes provided.
“A well‑built application for automated distance and mileage tracking …Drivernote helps in calculating all the distance travelled by different bikes on which we give services to our customers. The gps system of this plaform helps in getting accurate data of the total expanses that we do on a daily basis on travelling by keeping the mileage of each vehicles on mind.” — Shaik U., Creative and Design, Mar 20, 2025.
“The only Driversnote issue is the route optimization. It seems not a transportation planner but a dreamer, who ignores something about traffic or road closures, which can become a cause of slowdowns on a way. Many times our routes need correcting due to the fact that we must do it manually.” — Kamil H., Project Strategy Director, Mar 25, 2024
Our say
Driversnote is a simple and effective mileage tracking solution. It’s a natural pick for freelancers or small teams who want an easy onboarding experience and the flexibility to manually correct errors. For those requiring precise, uninterrupted mileage logging or advanced integrations, a mileage tracker with a minimum speed threshold or more robust detection may be a better fit.
Zoho Expense alternatives: Final thoughts
Zoho Expense does a solid job as a general travel and expense management tool. It lets you track expenses, create expense policies, define customized approval workflows, and help businesses of all sizes manage employee expenses. However, if mileage tracking is a key part of your business, an alternative GPS-driven tracking solution might be a better fit.
