While you might not find a one-size-fits-all mileage tracking and expense management solution, a solid system like Everlance might offer the basic features you need to manage a field workforce. The app helps businesses and independent contractors save time and money with reliable financial tools.
But is it the best option for accurate mileage and expense tracking for your business?
What we know for sure is that at this price range, there are some great alternatives for you to consider. Some are more accurate and reliable and offer more bang for your buck.
Everlance claims to be among the top mileage-tracking apps in the industry. But unreliability in the automatic mileage tracker with frequent missed trips is among the key reasons you might want to look for alternatives to the Everlance app.
So, we tested and compared some of the best Everlance alternatives to help you make a well-informed decision.
In this article, we’ll cover the top Everlance alternatives and see how they differ regarding GPS time-tracking, mileage tracking, pricing, and other additional features.
But before that, let’s consider why you need an Everlance alternative.
Looking for an alternative and more accurate way to track time and mileage for your remote and field teams?
Everlance expense management platform claims to be a great mileage and expense tracker with auto-tracking of miles and easy recording of expenses. But during our test, we discovered some shortcomings, especially when tracking mileage.
Here are some challenges we encountered while using Everlance.
If you drive for work - either as an Uber driver, independent contractor, Rideshare driver, or food courier - you should claim the right tax deductions for your mileage. However, while Everlance records your miles and calculates the amount of tax you can save with manual tracking, the results are a little short if you use automatic tracking. For example, the app did not pick up some of the rides we tested and just captured a few.
Similarly, it doesn’t provide real-time tracking of field agents, so you might have difficulty determining if the driver logged the right route, which may lead to reimbursements for a distance not covered.
Luckily, we have plenty of alternatives that can replace Everlance. So if you’re short on time, here are the top Everlance alternatives.
Timeero: All-In-One Everlance Alternatives With Dedicated Time, GPS Location, and Mileage Tracker
Zoho: Expense Management Software with a Mileage Tracker
QuickBooks Workforce FKA QuickBooks Time: Everlance Alternative With a Time Tracker and Employee Invoicing
MileIQ: Reliable Everlance Alternative With No Dedicated Time Tracker
TripLog: Fleet Management Tool With Basic Expense and Mileage Tracking Capabilities
Now that you have a sneak peek into the top alternatives to Everlance, let’s explore what each app offers regarding time tracking, employee GPS location tracking, mileage tracking, and any other feature that stands out. First, let’s start with the best overall Everlance alternative - Timeero.
Timeero: All-In-One Everlance Alternative With Dedicated Time, GPS Location, and Mileage Tracker
For several reasons, Timeero scoops the first spot as the most recommended alternative to Everlance. It offers reliable time tracking, real-time GPS location tracking, and accurate mileage tracking, to mention a few.
Read our Timeero Review to learn why the app qualifies as the best alternative to Everlance.
Time Tracking
Timeero is designed to streamline workflows and accurately track hours and locations for remote and field teams. In addition, the Android and iOS mobile apps have a user-friendly interface for any user.
Tap the “Who’s Working” section on the web dashboard to see which employee is working on a specific task and at what location. You can see when they clocked in and out of the job area. This makes it easy for managers to delegate tasks and track progress.
Timeero has also enhanced the accuracy of tracking employee working hours using geofencing and facial recognition functionalities - features missing on Everlance. Once the app detects a face mismatch, it automatically prevents you from clocking in and immediately sends a notification to your manager.
Real-Time GPS Location Tracking
Besides reliable time tracking, Timeero also offers real-time GPS location tracking so that you can monitor your employees’ exact location and movement once they clock in. On the app, you can access the map and zoom in to get more details about when the employee has been at a certain location.
Timeero’s breadcrumbing technology blends perfectly with the route replay feature, so you can see every route the employee takes with detailed timestamps and speed.
Managers can use the geofencing feature to create geofences around their work sites to ensure workers punch in and out of the designated area. Then, when the employees enter or leave the geofenced job area, the system can notify them to clock in or out.
Timeero allows you to set automatic notifications for clocking in and out of the geofenced area. This ensures that no employee clocks in outside the designated area and ensure they don’t submit false information about hours worked for fair reimbursement and correct tax computation.
Automatic Mileage Tracking
Timeero scores highly in automatic mileage tracking, making it the best mileage tracking app built for remote and field teams.
What makes Timeero stand out is its ability to capture mileage in real time as long as the vehicle exceeds the set speed limit. This makes it easy for drivers and employers to track all expenses and reimburse their workers fairly while computing IRS tax deductions accurately.
Whether you reside in California or any state known for its stringent mileage reimbursement laws and regulations, Timeero offers IRS-compliant mileage logs to protect you from significant penalties and hefty fines.
Seamless integrations with other software such as Xero, Paychex, Gusto, Rippling, QuickBooks Online, ADP, Paylocity, and QuickBooks Desktop.
Timeero Pricing
Timeero offers three plans, including:
The Basic plan for $4 per user per month
The Pro plan for $8 per user per month
The Premium plan for $11 per user per month
The app also offers a 14-day free trial.
Zoho Expense: Expense Management Software with a Mileage Tracker
While less accurate than Timeero, Zoho offers businesses and freelancers reliable time and mileage tracking functionalities. Zoho also consolidates business expense management and bookkeeping capabilities into one platform, making it easy for small businesses to use.
This section will cover some unique features that make Zoho an alternative to Everlance. But if you want to know more about what Zoho offers, read our detailed Zoho Expense Mileage Tracking Review.
Time and GPS Location Tracking
Zoho's mobile tracking solution allows you to track employees when they clock in and out on the app. Employees working from different locations can record how much time they spend on their projects, and Zoho will collect the data for accurate billing.
One caveat with Zoho location tracking is that it will only recognize the user’s actual location when they clock in and out, not the entire shift.
That said, Zoho allows you to create geofences around the client’s location and use the new geolocation feature to automatically capture the actual location of the worker when they clock in and out. You can log into the Zoho dashboard and hover over the Timesheets tab to see the exact GPS coordinates of your field employees.
Expense Mileage Tracking
Zoho Expense mileage tracker offers you different ways to track mileage expenses. You can track mileage through the distance covered, point-to-point map location, odometer reading, and using GPS. The fact that it offers more than one way to track mileage makes it a favorite option for many drivers but not all of them will provide the most accurate results needed.
When using GPS to track mileage, Zoho Expense leverages GPS technology and a smartphone accelerometer to track mileage accurately. If the employee uses a point-to-point map location option, they must input the start and end destination on a map. Then, the app shows different ways to go from one place to another, and they can pick the way they went.
Zoho computes the total miles covered based on the route chosen. However, this might not be the best way to track mileage, so the first option of GPS mileage tracking on Zoho may be the best option to achieve optimal results.
When using the mileage tracking by distance covered option, you have to input the distance traveled manually, which means you have to use another mileage tracker to log the distance traveled. Still, this method leaves room for common errors when using Excel to track mileage.
Also, while mileage tracking apps such as Timeero provide the base speed which the vehicle must reach for an app to track mileage, the Zoho mileage tracker lacks a specific speed limit for the mileage tracker. This means it tracks mileage even when walking, leaving room for many inaccuracies and possibly leading to unfair reimbursements and tax deductions.
Other Notable Features
Zoho other key features include:
Reporting
Expense reports tracking
Attendance tracking
Employee and performance management
Expense and asset management
Integrations with other software such as Zoho People, Zoho Books, Zoho CRM, Zoho Projects, QuickBooks, QuickBooks Online, Xero, Sage Accounting Software, Slack, Google Drive, Microsoft Office 365, and more.
Zoho Pricing
Zoho offers three pricing plans.
Standard at $3 per user per month (billed annually) or $5 per user per month (billed monthly)
Premium at $5 per user per month (billed annually) or $8 per user per month (billed monthly)
Enterprise at $8 per user per month (billed annually) or $12 per user per month (billed monthly)
QuickBooks Workforce FKA QuickBooks Time: Everlance Alternative With a Time Tracker and Employee Invoicing
QuickBooks Workforce mobile app FKA QuickBooks Time is a time-tracking app designed to track time and mileage for teams of all sizes. Like other apps on this list, QuickBooks Time is a good alternative to Everlance, thanks to its accurate and reliable time-tracking capabilities.
Check out our comprehensive QuickBooks Time Review to learn more about all its features in detail.
Time and GPS Location Tracking
One of the most popular features of QuickBooks Time, now known as QuickBooks Workforce, is its time-tracking capability. The app allows users to clock in and out easily and effectively track time and GPS locations.
QuickBooks Workforce app, previously known as QuickBooks Time app has a “Who’s Working” window where you can see the entire workforce, including their exact location and what they are working on.
The employee GPS tracking on the app shows which employee is closest to the next job site, and you can deploy your team quickly for maximum efficiency. In addition, using the QuickBooks Time Geofencing feature, employers can create virtual boundaries around a specific job site, and the employees can clock in or out once they enter or leave the geofenced areas.
Employers can also send employees reminders so they don’t forget to clock in or out once they enter or leave the job site. This allows them to create an accurate timesheet for fair reimbursements and tax computation purposes.
Mileage Tracking
QuickBooks Time offers a mileage tracker, which is available on the QuickBooks Online Elite plan. So, you must subscribe to the top tier plan to access the mileage tracker. It allows you to automatically and manually track miles once your start driving. Also, you can use QuickBooks Self Employed or QuickBooks Desktop app to record mileage.
QuickBooks Time mileage tracker also allows you to easily categorize individual trips as either personal or business to ensure you accurately calculate tax deductions and reimburse expenses fairly. While this may be enough to produce IRS-compliance mileage reports, the QuickBooks Time mileage tracker isn’t ideal if you’re trying to track mileage automatically for a large field team or employee. A robust app like Timeero with an automatic mileage tracker and real-time GPS location tracking will provide much better results and the accuracy you need for your reports.
Other Notable Features
Employee scheduling
Jobs and project tracking
PTO management
Integrations with QuickBooks Online Plus, Advanced, Essentials
QuickBooks Time Pricing
QuickBooks Time offers two pricing plans:
The Premium plan goes for $20 per month plus a base fee of $8 per user per month.
The Elite plan costs a $40 monthly fee plus $10 per user per month.
MileIQ: Reliable Everlance Alternative With No Dedicated Time Tracker
MileIQ is a mileage-tracking app that uses automatic drive detection to track mileage. Here is what we found out when we tested its key features.
To read more about the app’s exclusive features, check out our detailed MileIQ Review.
Time and GPS Location Tracking
One feature that makes the best tracking apps is the ability to track time and location in real-time.
MileIQ doesn’t have a dedicated time tracker. Still, you can see the actual location of the employee’s start and end destination on the map. The user has to set the location of these two points manually. Otherwise, the app might not track mileage and show you the actual location when the trip started and ended.
Timeero's time and GPS location tracking feature excels here with real-time location tracking of the employee, including all the turns, breaks, and stops. Additionally, you will see how long the worker spent in a particular location and their daily route. You can also see who is working at what job and on which site.
Mileage Tracking
While MileIQ may not give you the best time and GPS tracking results, it offers reliable mileage-tracking capabilities for sales teams, real estate agents, rideshare and delivery drivers, and property managers.
MileIQ’s automatic drive detection is a feature that stands out as it uses a combination of cell data, Wi-Fi, passive GPS map lookup, and location service data to track trips automatically.
It will allow you to track mileage if you exceed half a mile (about 0.8 km). Unfortunately, this means you may be unable to track mileage for drives that fail to hit that threshold. This can be a huge disadvantage for businesses that want to track door-to-door mobile teams.
That said, it’s a great alternative to Everlance as it offers automatic mileage tracking as long as you attain the speed threshold with fewer missed trips than those on Everlance. MileIQ also allows you to personalize your trips by including locations or addresses to make it easy for the app to recognize drives. You can also set custom mileages for your entire team to help you manage reimbursements and easily adjust them depending on IRS requirements.
Other Key Features
Other key features of MileIQ include the following;
Drive classifications
Reporting
Expense reimbursements
Integrations with other software, such as Concur
MileIQ Pricing
MileIQ offers a free plan with limited usage. For instance, drivers can track up to 40 drives per month.
The paid personal plan costs $59.99 per year.
Teams subscriptions offer features such as mileage reports, custom rates, and the option to add/remove drives.
There are three team plans;
The Team Lite costs $50 per user per year.
The Teams plan costs $80 per user per year and comes with Lite features plus reporting capability.
The Team Pro plan costs $100 per user per year with features such as reporting, multiple admins, invoicing, and custom mileage rates.
TripLog: Fleet Management Tool With Basic Expense and Mileage Tracking Capabilities
TripLog’s cloud-based fleet management software is designed to help businesses track expenses and mileage for remote and field teams. Here are some reasons why it might be a good alternative to Everlance.
Also, read our detailed TripLog review to see the app’s other features.
Time and GPS Location Tracking
Time tracking and GPS location tracking are among the features offered on TripLog. In our test, we compared TripLog and Everlance’s accuracy in tracking time and location.
We discovered that TripLog allows you to track time effectively, a feature not present on Everlance. You can choose your time tracking method on the Time Menu - Timesheet or Duration Tracking. In addition, you can add the job activities and hourly rates for your employee.
The only problem with time tracking on TripLog is that you can skip adding the job details and clock in, and the app will continue tracking time regardless. Unfortunately, dishonest workers can use this loophole and add inaccurate information about their trips, leading to unfair compensation and reimbursements.
TripLog’s SaaS solution also offers a built-in GPS to capture the actual location of your field agents. You can zoom the map and see the precise location of the employee and the trips taken on a particular day.
Unlike with Timeero, where you can see many details on the map, such as breadcrumbs of routes taken and even replay the route, TripLog shows fewer details of the employee’s punch-in and out location. That said, TripLog offers reliable time and location tracking capabilities compared to Everlance.
Mileage Tracking
TripLog is a popular mileage tracker for fleets. The app has advanced mileage tracking features that beat Everlance’s mileage tracking functionalities.
To begin with, TripLog offers both manual and automatic mileage tracking capabilities via a smartphone for Android and iOS users. In addition, you can track mileage using different tracking methods, including iBeacon, Standard, Bluetooth-enabled, or Plug-N-Go auto-tracking.
Once you hit the start trip button, mileage tracking will start. But if you want automatic mileage tracking, subscribe to the premium plans. Also, ensure you select the “Always Allow” option so that the app can access your location when tracking mileage.
At the end of the trip, the app will show you the locations you clocked in and out, the distance between the two destinations, and the total mileage, including the speed and cost.
You can classify your trip as personal or business and access detailed IRS-compliant mileage logs, including car allowance, fuel cards, and mileage reimbursements for tax computation purposes.
Other Notable Features
TripLog offers other key features that include;
Employee scheduling
Expense tracking
PTO tracking
Reports
Integrations with other software such as Salesforce, ADP, Paychex, QuickBooks, Xero, Google Outlook, SAP Concur, and more.
TripLog Pricing
TripLog offers a 15-day trial to test all its features for a single user.
It has three paid plans that include the following;
The Premium plan starts at $4.99 monthly or a yearly fee of $59.99.
The Teams plan goes for $10 per user per month.
The Enterprise Plan - Customizable based on the organization’s needs and preferences. Pricing is available upon request.
Other Notable Everlance Alternatives include FreshBooks, Hurdlr, Expensify, and Driversnote, to mention a few.
